10 Reasons to Put Your Staff List on Autopilot
- 01$25,595
The cost of one missed name
The maximum civil penalty per item or service billed through someone you should have known was excluded, plus up to 3 times the amount claimed (HHS, 2026). One employee can touch hundreds of claims.
- 02Monthly
What CMS told states to require
CMS told state Medicaid programs to require providers to search for excluded employees and contractors monthly (SMDL #09-001). A clean check at hire says nothing about this month.
- 0334
Lists in one run, not one website
OIG, SAM.gov and the Medicaid exclusion lists of 32 states. By hand, that’s 34 separate searches per person, every month.
- 04Weekly
Checks between monthly records
Every Friday, after the lists refresh, your saved names are checked again. If something new turns up you get an email the same day, with who matched and on which list.
- 05PDF
A dated record for every audit
Each month you get a PDF naming every list, the date of each copy used and every person checked. Keep it with your compliance files for audits, payers and credentialing.
- 06NPI
Watch on every provider’s NPI
For saved NPIs we compare the NPI Registry and CMS Medicare data each week: deactivation, license numbers, address, Medicare enrollment, ordering and referring, and opt-out. You hear what changed.
- 0760 · 30
Days’ warning before a license lapses
Add expiry dates to your list and we email you 60 and 30 days before each one, and again if a date passes.
- 08$0.32
Per person a month
$79 covers up to 250 employees, contractors and vendors. Yearly is $790: two months free.
- 09Minutes
To set up, then it runs itself
Paste names or upload a CSV, add NPIs where you have them, and you’re done. Sign in with an email link: no password, no software to install.
- 100
Lock-in, setup fees or contracts
Cancel from your account in two clicks; monitoring continues to the end of the period you paid for. A person answers every support ticket within one business day.
Do the maths
What Monthly Screening Costs You by Hand
Move the sliders to match your team. The searches are simple arithmetic; the minutes are your own estimate.
Monthly screening by hand means searching each person on OIG, SAM.gov and your state’s Medicaid list (3 searches), 12 times a year. Practice Pro also checks 32 state lists, not just yours.
How it works
Set It up Once. It Runs Every Month.
- 1
Save your list
Paste names or upload a CSV of employees, contractors and vendors (up to 250). Add NPIs and license expiry dates where you have them.
- 2
We re-check every month
On the 12th, after OIG publishes its monthly update, everyone is screened against OIG, SAM.gov and 32 state Medicaid lists.
- 3
You hear about changes fast
A weekly check runs in between. New possible match, NPI change or a license about to expire: you get an email the same day.
- 4
You file the record
Confirm any possible match on the official source, and keep the dated PDF with your compliance files.

Questions
What does Practice Pro check?
The OIG List of Excluded Individuals and Entities, the SAM.gov exclusions list and the Medicaid exclusion lists of California, New York, Pennsylvania, Arizona, Colorado, Georgia, Indiana, Iowa, Kentucky, Maryland, Missouri, Montana, Ohio, North Carolina, South Carolina, North Dakota, Alabama, Arkansas, Michigan, New Hampshire, New Jersey, Louisiana, Nevada, Texas, West Virginia, Alaska, Delaware, Idaho, Nebraska, Wyoming, District of Columbia, Washington. Each monthly record names the lists and the date of each copy used.
When does the monthly check run?
On the 12th of each month. OIG publishes its monthly update by the 10th, so each run uses the new list. If you start before the 12th, your first record arrives that month; you can also run your saved list on demand at any time.
Do you check between monthly runs?
Yes. Every Friday, after the lists are refreshed, your saved names are checked again. You get an email only if something new turns up, including a match on a state list we have newly added.
Can it remind me when a license expires?
Yes, if you add license and license_expires columns to your list. We email you 60 days and 30 days before each date, and again if it has passed. We use the dates you save; we do not read license records from state boards.
What does the NPI watch check?
For every saved name with an NPI, each weekly check compares the CMS NPI Registry record (status, primary taxonomy, license numbers, practice address) and CMS Medicare data (enrollment, revalidation due date, ordering and referring, opt-out) with the last check, and emails you what changed.
Who processes the payment?
Dodo Payments, our merchant of record. It takes the payment, adds and pays any sales tax or VAT, issues your invoice and appears on your card statement. Your account shows every payment with a downloadable invoice.
Can I cancel?
Yes, any time, from the Billing tab in your account. Monitoring continues until the end of the period you paid for and you are not charged again. Payments are non-refundable once a period starts, except for billing errors; see the billing and refund policy.
How do I get help?
Open a support ticket from the Support tab in your account. A person replies within one business day, in your account and by email. You can also write to [email protected].
Is a possible match proof that someone is excluded?
No. Many people share names. Confirm on OIG’s search with the person’s Social Security number, on SAM.gov, or with the state agency before acting. The email tells you exactly which record matched.
Where is my list stored and who can see it?
Your list is stored securely with our hosting provider (Cloudflare) only so it can be re-checked. It is never shared or used for anything else, and you can delete it and your account at any time.
Can I still use the free tools?
Yes. The single check, the bulk check of up to 500 names and the PDF record stay free.
Do you cover every state Medicaid list?
Not yet. We check 32 states automatically and add states as their official files allow automated downloads. For other states, our directory links to every official list.
