What do missed calls cost your HVAC company?
Every unanswered call in July or January is a job that might go to the next company in the search results. Put in your own numbers to see the yearly cost, and what fixing it is worth.
What missed calls cost you in a year
At the range of rates found in platform data
Formula: calls a year (50 weeks) × % missed × % who never reach you × booking rate × average job value. This is revenue, not profit. 14% and 27% are the low and high ends of the home-services platform data in a 2026 evidence review; your own phone report is the number to trust.
How the number is worked out
Calls a year × the share that go unanswered × the share of those callers who never reach you × your booking rate × your average job value. With the example inputs (80 calls a week, 14% missed, half of missed callers lost, half of calls booking, $450 average job), that is 560 missed calls, 140 lost jobs and about $63,000 of revenue a year.
What the evidence says, and doesn’t
We looked for a trustworthy figure for how many HVAC calls go unanswered. A 2026 evidence review of missed-call statistics found no independent HVAC benchmark; the platform data it could trace ranged from 14% of home-services calls missed (CallRail) to 27% (Invoca), measured in different ways (Claire Research). It also found that the popular “80% of callers won’t leave a voicemail” claim has no study behind it. That’s why the calculator asks for your own rates and shows the 14–27% range only as context.
On speed: research summarized from Harvard Business Review found that firms contacting web leads within an hour were nearly seven times as likely to qualify them as those that waited longer (HBR summary).
How to measure your missed calls this week
- Export last month’s call log from your phone system or call-tracking tool.
- Count calls that rang out, hit voicemail or were abandoned, and divide by all inbound calls.
- Split by hour: lunch, after 5 pm, weekends and storm days are usually where calls die.
- Check how many of those numbers called back or booked within 24 hours. The rest are your “never reached you” share.
- Call your own number on a Saturday evening in peak season and see what a customer hears.
Fixes, from cheapest to most complete
- Text back every missed call within a minute: who you are and when you’ll call.
- Route overflow: ring a second phone or the office manager’s line before voicemail.
- After-hours answering: an answering service or an AI receptionist that books into your calendar and alerts the on-call tech.
- Emergency triage: script no-heat, no-cooling for vulnerable people and gas smells to reach a person immediately.

Questions
What percentage of calls do HVAC companies miss?
There is no reliable independent HVAC benchmark. A 2026 evidence review found platform data for home services ranging from 14% of calls missed (CallRail) to 27% (Invoca), with definitions that can’t be compared. Your phone system’s report is the number to use.
Do callers leave voicemails?
Some do, but the often-quoted claim that 80% of callers won’t leave a voicemail traces to a 2014 article with no study behind it, according to the same review. Measure how many of your missed callers call back or leave a message instead.
How fast should we call back?
As fast as possible. Research summarized from Harvard Business Review found firms that contacted web leads within an hour were nearly seven times as likely to qualify them as those that waited longer. Phone leads behave similarly in practice: the customer with no heat calls the next company.
Is lost revenue the same as lost profit?
No. The calculator shows revenue. Multiply by your gross margin to see the profit at stake; the flat-rate pricing calculator helps you work out your margin.
What does it cost to fix?
Options range from routing calls to a second person, to an answering service, to an AI receptionist that books into your calendar. Enter the monthly cost of the option you’re considering to compare it with what missed calls cost.
