For medical, dental and therapy practices
AI Receptionist That Answers Every Patient Call, 24/7.
It picks up on the first ring, answers your patients’ questions, books the appointment, takes a deposit and texts you a summary. Day, night and weekends. Built for your practice at one fixed price.
One in Four Patient Calls Goes Unanswered.
In 2025, Clarus placed about 2,000 test calls to outpatient clinics of eight large Miami health systems. About 1 in 4 calls was not answered or returned within one business day (Clarus, 2025). Every one of those is a patient who may book somewhere else.
An AI receptionist closes that gap without hiring: it answers when your team can’t.

The Phone Problems Every Practice Knows
Your front desk has to choose between the person in front of them and the person on the line. Someone always waits, and callers on hold hang up.
Many patients call after work. Most won’t leave a message; they call the next practice on the list.
The busiest calling hours are the hours your staff are busiest. Lines stay busy and new patients give up.
Hours, location, insurance accepted, parking, “do you see children?”. Your staff answer them all day instead of caring for patients.
A booked patient who forgets costs you the slot. Reminders and a small deposit change that.
A full-time front desk hire costs a salary, training and sick days, and still can’t answer at 2 am.
What Missed Calls Cost Your Practice
Set the sliders to your practice. The result is simple arithmetic on your numbers.
An estimate from the numbers you set, not a promise. It shows the size of the leak an AI receptionist is meant to close.
What Your AI Receptionist Does
Picks up on the first ring, day and night, weekends and holidays, and on busy lines when staff are with patients.
Into Google or Outlook calendar, or into your practice software where it allows bookings from outside. We confirm which in your quote.
Hours, locations, insurance plans you accept, services, prices you choose to share, parking and forms, in a natural voice.
Transfers to your on-call number or staff by the rules you set, and tells callers with an emergency to hang up and call 911.
Texts a secure payment link and a booking confirmation, then reminders before the visit.
A written summary of each call by text or email, with recordings and a simple report each month.
Built With HIPAA in Mind
We use phone, AI and hosting providers that will sign a Business Associate Agreement with your practice, and name each one in your quote. Calls keep only what they need, recordings are access-controlled, and you decide how long they are kept.
What It Will Not Do
It does not give medical advice, read symptoms or triage. Clinical questions go to your staff or on-call provider, and anyone describing an emergency is told to hang up and call 911.

AI Receptionist Questions
What is an AI receptionist?
An AI receptionist is a phone agent that answers your practice’s calls in a natural voice, understands what the caller wants, answers common questions, books appointments and passes urgent calls to a person. It works 24 hours a day and never puts callers on hold.
How is it different from a medical answering service?
A traditional answering service usually takes a message for your staff to return the next day. An AI receptionist can complete the task on the call: book the appointment, send the confirmation and take a deposit. It can also run alongside your staff as overflow during busy hours.
Is it HIPAA compliant?
HIPAA compliance depends on how the system is set up and used, not on a label. We build with phone, AI and hosting providers that will sign a Business Associate Agreement (BAA) with your practice, list each one in your quote, keep only the data the calls need, and limit who can see recordings. Your practice stays responsible for its own HIPAA program; we are happy to work with your compliance officer.
Will patients know they are talking to AI?
Yes. We set it to say it is the practice’s AI assistant at the start of the call. Patients can ask for a person at any time and it transfers them during your hours or takes a message after hours.
Can it give medical advice?
No. It does not diagnose, advise on symptoms or medications, or triage clinically. It follows your scripts, transfers clinical questions to your staff or on-call provider, and tells anyone describing an emergency to hang up and call 911.
Does it work with my practice software?
It books into Google or Outlook calendars directly. For practice management and EHR systems, it depends on whether the system lets outside tools create appointments; many do through an API or a scheduling link. We check yours before quoting and tell you exactly what will connect.
How much does an AI receptionist cost?
A typical build is $3,000–10,000 as a fixed price, 30% off for briefs received by November 8, 2026, plus call minutes paid to the phone and AI providers (usually a few cents a minute; your quote shows the estimate). An optional monthly plan covers monitoring and improvements.
How long does it take?
2–4 weeks for most practices, including your testing and approval.
Can it speak Spanish?
Yes, it can answer in English and Spanish, and switch when the caller does.
